Plum Safety ApS (“we”, “us”, “our”) is committed to protecting your personal data and ensuring transparency in our data processing. When you visit our website or contact us, we process your information in accordance with the General Data Protection Regulation (EU) 2016/679 (GDPR) and the Danish Data Protection Act.

2. Information we collect

When you use our contact form or communicate with us, we may process the following information:

  • Name
  • Company name
  • E-mail

so that we can respond to your inquiry. We also process contact information for employees of customers, suppliers, and business partners as part of our B2B relationships.

3. Purpose and legal basis

We use your information to communicate effectively with you, improve our services, and ensure a good user experience. When you contact us, the processing is based on our legitimate interest in responding to your inquiry. If you subscribe to our newsletter, this is based solely on your consent. Cookies are only used after your active consent, unless they are technically necessary.

The legal basis for processing is:

  • GDPR art. 6(1)(f) (legitimate interest), where our legitimate interest is to respond to inquiries, manage business relationships, and run our company professionally.
  • GDPR art. 6(1)(a) (consent) for sending newsletters and using non-essential cookies.

4. Sharing with third parties

To operate our website and communicate professionally, we use recognized partners such as:

  • Klaviyo
  • Google
  • LinkedIn
  • CookieInformation

These providers process data on our behalf. Some are located outside the EU, for example in the USA, and in such cases we use approved transfer mechanisms such as the EU Standard Contractual Clauses or the Data Privacy Framework.

5. Storage of information

We only store your information for as long as necessary. Contact information is generally deleted after 12 months. For the newsletter, we store your information as long as you remain an active subscriber and up to 12 months after unsubscribing to document consent. Cookies are stored according to the cookie declaration. Information is deleted or anonymized when the purpose for storing it is no longer applicable.

6. Your rights

You have several rights that ensure you always maintain control over your information. You have the right to access the information we hold about you, and you may request that it be corrected, restricted, or deleted. If you have given consent – e.g., for newsletters – you may withdraw it at any time.

7. How we protect your information

We protect your information through technical and organizational measures. We use access control, firewalls, antivirus software, and regular updates. A full annual backup of our Azure environment is performed. Our IT group is certified according to the ISO 27001/27002 standards. Access rights and roles are managed via Microsoft 365 through SSO to ensure that only relevant employees have access to information.

8. Changes to the privacy policy

We update this privacy policy when our processing activities change or when legislation requires it. In the case of significant changes, we will notify you directly via e-mail. We recommend visiting this page regularly to stay informed.
